Administrative Specialist
Job Overview
The Administration Specialist provides administrative and organizational support to ensure the smooth, efficient and accurate establishment of: new client records; work order submissions; invoice processing; customer service, and sales team support.
Responsibilities and Duties
Duties and responsibilities include but are not limited to:
- Review new business contracts for accuracy, resolve discrepancies, create account records, invoice and/or process payment, and submit new work orders.
- Manage the sales renewal process. Distribute renewal schedules, update account records, invoice and process changes.
- Process and reconcile daily receivables.
- Answer and direct phone calls with the highest degree of professionalism.
- Provide polite and professional assistance via phone, email, and US Post.
- Research billing questions.
- Process incoming and outgoing mail.
- Provide administrative support to the sales team.
- Assist in establishing office processes and operations.
- Maintain Client files
Qualifications
- Graduation from accredited high school or equivalent.
- Three years full-time administrative support, general office, or clerical experience.
- Skill in effective oral and written communication.
- Excellent organizational skills and attention to detail.
- Skill in handling multiple tasks and prioritizing.
- Skill in exercising sound judgment and effective decision-making.
- Ability to work cooperatively with others.
- Skill in the use of standard office equipment, computer proficiency (MS Office).
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.

The Role
This position is in our web department. The web department at Diocesan is responsible for creating websites for diocese, churches, and other Catholic organizations. The qualified candidate would act as an intermediary between the client and the website development team. Ensuring that client needs and expectations are met, while also tracking the development of each project through consultation, implementation, and launch cycles. Responding to client requests directly or escalating them to the appropriate individual on the development team.
Responsibilities

- Manage multiple projects simultaneously.
- Track issues and minimize their impact on the project budget, scope, and timeline.
- Attend client consultation meetings and document client needs and requirements.
- Assist in the quote preparation of each project.
- Attend daily team meetings, recording the progress and roadblocks encountered by the development team.
- Coordinate internal meetings with the development team for individual projects.
- Prioritize and schedule projects based on urgency and agreed-upon timeline.

- Strong technical skills. Ability to troubleshoot your own basic technical problems.
- Experience with Microsoft Office, Google Docs, Sheets, and Drive.

As a Junior Graphic Designer, you will be responsible for creating wireframes and proofs for client websites. Creation of logos, site images, and branding materials. Our designers work closely with our developers to move the project from design to build to launch. This is a full-time position, Monday-Friday. In-office position working in our Byron Center office.
